People store all sorts of valuable information in their email accounts including contact details, important emails, documents and other files.

Gmail is one of the most trusted email service providers around. Even so, it does have its weakness – like the lack of a local backup system/service.

Cloud services are great, but their performance does not come with a security shield. While Cloud has excelled when it comes to providing excellent services, it is also a disappointment to many due to security issues. Gmail is also a net-based service that saves all its accounts data in cloud server.

Moreover, Gmail does not have local backup service for its user’s accounts. In light of this, users have sought various ways to backup Gmail account information. When looking for a Gmail backup solution, go for one that easily backs up your account’s data including documents, contact list, calendar and calendar entries, emails and much more in their specific formats.

What to look for in a Gmail backup account tool

When you are searching for a Gmail backup tool, there are some things that should be present for it to be a useful tool. They include:

-Accessibility: Gmail does not provide local account backup services, and it is an internet-based service that completely relies on an internet connection. Once there is no internet connectivity, you cannot access your Gmail account. The backup tool you settle for should give you round-the-clock account accessibility. It should, therefore, not solely rely on the internet to give you access so that you can get all important information with ease.

-Security: Gmail account information is saved on a cloud server. This is not a very safe option especially when you consider the rising cases of password hacking, accidental deletion and Google downtime. There are statistics that show that the rate at which Gmail users lose information in their accounts is ever on the rise. It is for this reason that you should go for a backup tool that can create a safe backup solution for your Gmail account and data contained therein.

How to backup you Gmail account

Here are easy to follow steps on backing up your Gmail account:

Log into your account and go to “Mail Settings” at the top right corner.

Locate “Forwarding and POP/IMAP” then click on it.

Go to “POP Download” and choose the “Enable POP for all mail (even downloaded mail)” option.

Save the changes by clicking on “Save Changes”

Configure mail client to download email. Once this has been done, remember to open it periodically so that backup can take place.

Nowadays, too much information is sent via email and some of that information could be very important. For example, business reports, password information, university grades, bank statements and so much more. Although most email service providers have their security in check, there is always a possibility that your data could get lost or worse still, be completely wiped out.

Back in 2011, Google confirmed that there were many Gmail users who had lost access to their personal emails temporarily. If you have worries about losing important data in such a manner, you should seriously consider getting a backup plan to backup Gmail data in your account.

Why Gmail data loss happens

-Credentials getting hacked: Nowadays, usernames and passwords of various Gmail accounts are easily unethically hacked. The hackers end up misusing these Gmail accounts. Ultimately, you lose control over your account.

-Accidental deletion: There are times when a Gmail user accidentally deletes important data. This may cause you a lot of trouble especially if the data you had was crucial to a company or business.

-Trojan or virus attacks: Google systems are sometimes attacked by viruses that could cause corruption of files. They in turn make your account inaccessible, even by you. You can get yourself out of that tough situation if you have a backup plan for your Gmail data.

-Other reasons: Assume that all credentials have been fed into your smartphone then you lose your phone. That important information is in the wrong hands and can be used to cause distraction. If your phone was stolen, the information can even be deleted.

Probable causes of Gmail outage

Bugs in the system: If the system has bugs, they can cause internal errors, and these errors can cause disturbance in the system’s configuration. It is all just a matter of having a software bug affect the internal system, and that alone prompts incorrect configuration that leads to data loss.

Blocked key routers: When there is an overload of the key routers caused by heavy data transmission, the routers get blocked. Consequently, the network becomes clogged, and that is when you start experiencing system downtime. This might lead to loss of Gmail data.

Fatigue of infrastructure: There was a time when it was reported that Google’s infrastructure was overloaded. This overload ended up causing Google outage. This ended up generating a concurrent outage chain and users were not able to access their Gmail accounts.

Communication has evolved a great deal since the internet was first invented. Today, you can reach anyone from any corner of the world for free instantly.

At the apex of this communication revolution is Google, and in particular their product Gmail. Gmail is one of the most used communication methods ever created. It boasts over 450 million users globally. This is no mean feat considering the number of competitors in the email space.

Gmail can be used for both formal and informal email. You can send your friend a quick hi in the morning or send a job application. Businesses the world over are also opting to use the Gmail interface for their corporate email needs. This is down to the fact that it is user friendly and can be accessed from anywhere as long as you have a browser and internet.

Due to its popularity, people trust Gmail with their most sensitive data without putting much though to it. Ever thought what would happen if for some reason you couldn’t access your Gmail account? While the chances are slim that anything of the sort could ever happen, it is important to cover your bases when you’re dealing with sensitive information.

Reasons for Backing Up Gmail

The Google ecosystem has very high integration levels and this is why Gmail is such a popular app both for individuals and businesses. However, it is worth noting that Google does sometimes get outages which can be costly especially for a business. Should an outage occur at a critical time, it may have dire repercussions for a business. This is why it is important to have a fall back plan. You can back up your Gmail data in several ways. You can use third party remote backup solutions or a desktop app.

How to Back up Gmail

The Gmail backup app is one of the best options you have when you want to safeguard your Gmail data. The data will be stored in an easily accessible format. The best part is that the software is available for free. The software comes packed with great tools to help recover your Gmail mailbox should you lose your data for some reason.

When it comes to saving your contacts, one of the most devastating things would be losing them unceremoniously. This is especially so if you have your important business contacts on your mobile device and suddenly it crashes, gets stolen or simply deletes your contacts.

To ensure you do not lose your important contacts, the first thing you should always do once you get a new Android device is to sync the contacts with your Gmail account. When this is done, all your contacts are imported to your Gmail account for backup. This way, you will always have access to your contacts in case anything happens to your Android device.

Gmail contacts backup – Syncing Android contacts with Gmail

For you to be able to retrieve your lost contacts from Gmail, you must sync your contacts with Gmail while you still have your android device fully functional.

To sync your Android contacts with your Gmail account:

Go to the Android menu button and select ‘system settings’.

From the options available, choose ‘accounts and sync’ which is listed under the ‘personal’ tab.

From the accounts availed, choose to sync with Gmail. This option has a blue background with the letter ‘g’. Check the space box next to this option on the right side of the option to ensure it syncs with Gmail.

Tap on the ’sync Gmail’ option for your contacts. You can also choose Gmail for backing up other data like photos, movies and books among others.

After this process, your contacts will be automatically synced with your Gmail account. This creates a backup for your contacts on your Gmail account. If you lose your phone it for some reason it stops working, you can easily restore your contacts to another phone exactly in the same state they were when you lost them.

Gmail contacts backup – How to restore lost contacts from Gmail

Gmail comes with a restore function for contacts. This function restores your contacts exactly the way they were. This tool is ideal for recovering lost contacts after accidental deletion or after an unsuccessful sync.

To restore your lost contacts:

Sign in to your Gmail account.

From the left hand side of the screen, click on the Gmail drop down arrow and go to contacts.

Go to the ‘more’ tab under the search bar and choose ‘restore contacts’.

Choose a time frame to restore your contacts after which you should click on restore for your contacts to be restored.

Losing or breaking your Android device can mean that you lose all the contacts you had saved in the device. While Android is currently the leading smartphone operating system, one major let down is the fact that it does not come with a native way of backing up data. All data backups can only be done using Google services. For this reason, it is always important for Android users to always find a way of backing up all the important data saved on their Android devices.

One of the most preferred ways of backing up data is through the use of your Gmail account. Once you have backed up all your crucial data to your Gmail account, you will be able to restore it as it was when need arises. With this ability, you will be able to get your information back after you lose it.

Gmail backup contacts – Importing android contacts to Gmail

When you set up your Google account using your Android device, you have to remember to allow your accounts to be set as Google account contacts. This allows the contacts to sync with your Google account.

If you have not synced your contacts with your Google account:

Go to contacts and go to the menu button.

Go to import/export.

Export to SD card and click on ok.

This will export your data to your memory card. After this, you have to delete all your contacts to avoid confusion.

Go to import/export again and select import from SD card.

Select save contacts to Google account and not your mobile device.

After a while, the contacts will have successfully been imported to your Google account.

Most Gmail users have a lot going on in their accounts. Most have a lot of years put into their accounts, and the worst thing that could happen would be losing all the data. So, what would you do if one day you opened your Gmail account and found it blank? You would probably be devastated trying to figure out how you could save all the important data you had stored in there.

In light of all this, you should consider backing up your Gmail account. Having a secondary stash of all important data will definitely come in handy. While Gmail rarely loses data, there are times it does and it is because of such times that you need to choose between the following backup options.

Gmail Backup Codes – Backupify

You will first have to sign up to get Backupify. After that, you will have to authenticate your Google Apps or Gmail account via the service. You will not have to do more because Backupify has servers which take information from Google servers every two or three days and saves that data there. Backupify is also able to backup your Twitter stream, Google docs, Flickr photos and Facebook data among other web apps.

Backup Codes basics

If you are unable to get codes through Google authenticator, voice call or SMS probably because you have lost your phone, you can sign in using backup codes. Backup codes are there in the overview page of your Gmail account. These codes were first offered to users during the 2 step verification process.

These codes come in a set of ten, and users have the ability to generate new codes whenever they wish. When they do so, the previous set will automatically be rendered inactive. Additionally, once you have signed in using a backup code, that code is no longer active. It is recommended that users should store their codes where they store important information. Just as the codes in your mobile phone, backup codes will only be valuable to a person who also has your password.

How to backup your data

Network backup: This is the most appropriate method to backup all important files.

External drive and disk: These come in various types like DVD or CD burners. They can write all data in a disk as backup. Large USB’s are reliable options for data backup.

3rd party backup: Google “internet backup service” and you will be presented with many options. While this type of backup option is not suitable for backing up AU data, it is useful in backing up personal data like music collections or digital photo collection.
